IPD beds, admissions and doctor rounds in digital form
Bed status, optional attending doctors, scheduled visits and discharge billing checks keep wards honest. A checklist for hospitals moving IPD off whiteboards.
Beds are inventory with clinical meaning
Track every bed as available, reserved, occupied, cleaning or blocked. Admit should move a bed to occupied and stamp ward, bed and patient on the admission. Discharge should move the bed to cleaning until housekeeping clears it. Whiteboard photos are not an audit trail.
Ward and bed masters belong under hospital configuration so codes stay consistent for billing bed-day charges. Naming beds clearly (Ward A / Bed 3) beats opaque numeric only labels when night staff hand over.
Admit first, assign doctors when ready
Emergency admits often happen before an attending is named. Software should allow admission without a mandatory doctor, then let front desk or admin add attending and co-doctors later. Scheduling a bedside visit should only offer doctors already on the admission team.
Each scheduled visit needs date, time, reason and status. Assigned doctors see upcoming visits from today forward. Completing a visit and writing Rx from that visit links the prescription to both admission and visit IDs.
Discharge without hiding money problems
Front desk and admin can discharge when clinical care ends. Block discharge only when unbilled charge lines remain above zero, unless an admin waiver is explicit. Outstanding invoice balance can stay collectible after discharge; silent write-offs should not be the default.
Push realtime updates when visits change so doctor lists and the admissions desk refresh together. Audit every schedule, complete, cancel and discharge event with actor and timestamp.
